Direct answer

What is SOP and work-instruction translation?

SOP translation converts an approved standard operating procedure or work instruction into another language while preserving its steps, roles, cautions, references and document-control information. WLS distinguishes translation from process redesign: operational changes must be approved by the document owner.

Documents in scope

What we translate

Send the complete document set and explain how the files relate to one another. We confirm the scope, language team and required output after reviewing the material.

Standard operating procedures

Controlled procedures covering repeatable operational or quality processes.

Work instructions

Task-level instructions used by production, maintenance, laboratory or support teams.

Quality procedures

Document control, deviation, CAPA, inspection, audit and release processes.

Cleaning and maintenance procedures

Approved sequences, materials, frequencies, cautions and records.

Laboratory procedures

Sample handling, equipment use, test workflows and result recording.

Forms and checklists

The records employees complete while following the translated procedure.

Accuracy controls

What must stay consistent

  • Preserve step order, numbering, responsibilities, approval fields and revision identifiers.
  • Keep modal verbs and obligation levels accurate: must, should and may are not interchangeable.
  • Use the same approved term for equipment, materials, roles and records across the SOP set.
  • Check references to forms, annexures, other SOPs and system fields after translation.
  • Plan controlled review and approval by the client’s process owner before operational release.

Industries and teams

Who uses this service?

  • Manufacturing and assembly operations
  • Pharmaceutical and life-sciences teams
  • Laboratories and quality-control functions
  • Warehousing, logistics and field service
  • EHS and employee training teams

Procurement teams, technical writers, engineers, quality managers and export teams can nominate a reviewer and provide approved terminology for the project.

Files and layout

How we handle the source files

Editable controlled documents are preferred. Send the Word templates, Excel forms, linked annexures and any approved terminology. We can return bilingual review files or target-language layouts according to the agreed document-control process.

External reference

Check the rule that applies to your document

The WHO laboratory quality manual resource includes examples of SOP and document-management materials. It is an independent reference, not a universal template for every industry; your organisation remains responsible for approving its procedures.

External references are independent sources and do not imply affiliation or universal applicability.

Questions about SOP and work-instruction translation

What is the difference between an SOP and a work instruction?

An SOP usually defines a controlled process, while a work instruction describes a specific task in greater detail. Both can be translated within one controlled document set.

Will you simplify or rewrite the procedure?

Translation follows the approved source. Any rewriting, process change or plain-language adaptation must be separately authorised and reviewed by the process owner.

Can operators review the terminology before final delivery?

Yes. Nominate a client reviewer and provide feedback through the agreed review file so approved terms can be applied consistently.

How are revision numbers handled?

The translation should identify the corresponding source version. Send only the approved current source and tell us how translated revisions are controlled internally.

Can SOPs be translated into Indian workforce languages?

Yes. WLS supports Indian vernacular languages as well as major foreign languages, subject to the specific technical domain and language pair.
